AML/CTF customer due diligence file (Australia)

Early access for Australian reporting entities who keep customer due diligence evidence files; an evidence file for what you collect. Join the waitlist.

Where the time goes

  • Evidence for one customer is spread across email, folders and scans
  • Expiry and review dates are tracked by hand
  • Structure documents and ownership declarations are hard to compare
  • Staff look for the same document again at each review

What is in the early-access pack

The customer due diligence pack is available to early-access customers as an evidence file for what you collect. Document types cover identity documents, proof of address, company, trust and partnership structure documents, beneficial ownership declarations, source of funds and source of wealth evidence, your own risk assessment and enhanced due diligence notes, monitoring and periodic review notes, and engagement letters or authorities to act.

Starter schemas extract fields such as client or matter reference, names, document type, expiry date, copy certification details, address, entity name and type, ABN and ACN, trustees and beneficiaries, beneficial owners as listed, evidence kind and date, the risk rating and review dates as recorded on your own file, and retention class fields. These are recorded as entered; Droqify does not calculate or enforce retention periods. The extraction instructions ask for only the last four digits of identity document and account numbers; Droqify does not currently mask these numbers. Cross-document indexes cover client or matter, person or entity, customer type, identity expiry, document type, address evidence date, registry identifier, declaration date, risk rating as recorded, review dates and retention fields. Smart folders group files into individual, company and trust clients, passports on file and driver licences on file.

What is still being confirmed

Early-access packs are built from public form and agency guidance; some details are still being checked and may change. They have not been validated on production customer documents, and forms and fields will be confirmed with early-access customers. Reviewers compare documents using the extracted data and search; the pack does not check a file for completeness or compare documents automatically. Where your forms are not covered, your team can define additional schemas.

Where people stay in the loop

Each extracted field has a model-reported confidence score (not calibrated). When you turn on Human in the Loop for an upload, processing pauses at the steps you choose so a person can check the source document and correct the data before it continues. Documents that match no schema are flagged. Droqify does not verify identity, screen customers or decide anything. Key actions are written to an audit log.

This is an evidence file for what you collect. Droqify does not verify identity, screen against any list, assess risk or decide anything, and it does not tell you what to collect. The pack does not prescribe a checklist: the checks you run, and the records you keep, follow your own procedures and your own advice. The pack is a set of review aids. Your compliance officer or adviser signs off each file, and Droqify does not give legal or compliance advice. Retention class fields are recorded as entered; Droqify does not calculate or enforce retention periods.
